Working with Documents
Web Access Light gives users the ability to:
- Search or navigate to the document you want to view.
- Click the document name to open its image.
- Click View Text to view the document's text.
- Click View Thumbnails to view the document's thumbnails. While viewing the thumbnails you can rearrange, copy, or remove document pages.
- Search or navigate to the document you want to view.
- Click the document name to open its image.
- To rotate the image, select Rotate Right, Rotate Left, or Rotate Upside-Down, and click Rotate. This rotation will not be saved unless you select Save on Rotation before rotating.
- Select the checkbox next to the entry you want to rename, select Rename from the More Actions drop-down menu, and click Go.
- Rename the entry and click Rename.
- Select the checkbox next to each entry you want to delete, select Delete from the More Actions drop-down menu, and click Go.
- Click Delete.
- Select the checkbox next to the entry you want to move/copy (you can select multiple entries), select Move/Copy from the More Actions drop-down menu, and click Go.
- You can select the new location from the Bookmarked/recent entries drop-down menu, type the new folder path, or enter the new folder's ID number. If you want to copy the document(s)/folder(s), select Check to copy the item(s) instead of moving them.
- Click Move/Copy.
- When searching for or browsing through entries, select the checkbox next to specific entries and click Bookmark to save them to your Bookmarked Folders/Bookmarked Documents drop-down menu for easy future retrieval.
- When selecting a bookmarked entry from the drop-down menu, note that the entries listed are divided into three sections: Bookmarked Folders, Bookmarked Documents, and Recent Documents.
- Navigate to where you want the document or folder created.
- Select New Document/Folder from the More Actions drop-down menu and click Go.
- Name the entry, select the entry type (folder or document), and click Create.
- Select the checkbox next to the entry you want to create a shortcut to, select Create Shortcut from the More Actions drop-down menu, and click Go.
- You can select the new location for the shortcut from the Bookmarked/recent entries drop-down menu, type the new folder path, or enter the new folder's ID number.
- Click Create Shortcut.
- Select the checkbox next to the entries you want to migrate, select Migrate from the More Actions drop-down menu, and click Go.
- Select the volume you want to migrate the entries to from the Select the destination volume drop-down menu.
- Click Migrate.
- Select the checkbox next to the file you want to replace, select Replace Electronic File from the More Actions drop-down menu, and click Go.
- Click Browse and find the file on your machine that will replace the selected electronic file.
- Click Overwrite.
- Select the checkbox next to the file you want to delete, select Delete Electronic File from the More Actions drop-down menu, and click Go.
- Click Delete.
- Select the checkbox next to the document(s) you want to e-mail, select Send E-mail from the More Actions drop-down menu, and click Go.
- Enter the appropriate values for the e-mail (To, Subject, Message).
- Under Send as select how you want the document(s) sent.
- URL Links: The recipient will receive links to the location of the document(s) in the repository.
- Files: The document(s) will be attached to the e-mail as separate files. Select how you want the images sent in the Images will be sent in this format drop-down.
- Zip: The documents will be attached to the e-mail as one compressed Zip file. You can also apply a password to the Zip file.
- Click Send.
- Select the checkbox next to the entry whose properties you want to view, select View Properties from the More Actions drop-down menu, and click Go.
- If a Laserfiche document is selected, the following will be displayed
- Entry properties: creation date, modification date, creator, owner, entry ID
- Metadata properties: template, tags assigned
- Document properties: number of pages, full-text indexed, volume
- If an electronic document is selected, the following will be displayed
- Entry properties: creation date, modification date, creator, owner, entry ID
- Metadata properties: template, tags assigned
- Document properties: number of pages, full-text indexed, volume
- Electronic Document Properties: file size, extension, file type, file path
- If a folder is selected, the following will be displayed
- Entry properties: creation date, modification date, creator, owner, entry ID
- Metadata properties: template, tags assigned
- Folder Contents: child folders, child documents, image count, text count, electronic count, electronic count
- Folder properties: default volume, filter expression
